Booth Provisions

*Custom Booths: If your company plans on using a custom built exhibit, instead of the shell scheme, please notify the SRS office at [email protected] as soon as possible.

Exhibitor Service Kit

Exhibitor service kits, courtesy of Expo Solutions, the official IMAST exhibition contractor, are for your use to order additional furniture, booth upgrades, A/V, etc. Please pass appropriate information on to contractors or other individuals who require it.

Exhibitor Registration

Complimentary registrations may be claimed on individual registrations or group registrations. You can register online or using the PDF registration forms.  Please use the registration codes distributed to you via email with your booth space assignment during the registration process to claim your complimentary registrations.

Please note that those complimentary registrations MUST be claimed before the advance registration deadline of June 15, 2017. Booth staff registrations will only be accepted onsite after this date and are subject to full registration fees.

To Claim Complimentary Registration:

PDF Forms: Please write the discount code next the name of the delegate receiving the complimentary registration.  If no codes are written, complimentary registrations will be applied to delegates in the order they are listed on the form.

Please note, all delegates must have their own email address listed under their name to ensure certificates of attendance are correctly distributed. Completed forms can be returned to the SRS office via email at [email protected] or fax (414)-276-3349.

Online Form:

  1. Click on the link: Online Group Registration
  2. Login to your SRS account, if you do not have an account, you can create an account by selecting “click here if the meeting delegate does not have an existing account” and follow the instructions.  If you are not sure if you have an account, please click “I forgot my username or password.” To check that there is not an account linked to your email address prior to creating a new account.
  3. Fill out the information for the main contact for the group registration.  All confirmations and invoices will be sent to this individual
  4. Complete the registration information for each individual in the group. For anyone receiving complimentary registration, enter the exhibitor discount code in the "Discount Code" field.

Please note, each discount code can only be used once.

Exhibitor Hotel Accommodations

Room blocks have been secured for delegates and exhibitors at three hotels, located near the Cape Town International Convention Centre.  Please feel free to reserve rooms for individuals using the housing link on the Housing Tab.

Room rates, reservation instructions and further information can be found on the Housing Tab.
**Please note housing is on a first-come, first-served basis so please book early!**

Shipping

Association Freight will serve as the official forwarding, customs and on-site material handler for the 24th IMAST in Cape Town, South Africa.

SRS advises that demonstration materials for workshops be shipped along with exhibit materials, and clearly marked so that companies may direct their materials to either their booth or workshop storage areas. SRS is not responsible for locating materials shipped to the Cape Town International Convention Center using other methods (FedEx, UPS, DHL, etc).

Affiliate Meeting Space Requests

All affiliate function requests will need to be submitted online at http://www.srs.org/meetings/imast2017/space_request.php.

Once approved, SRS will handle all space requests at the nearby hotels on a first-come, first-served basis. All requests must go through the online approval process before space will be granted!

Hands-On Workshops (HOWs)

Each Hands-On Workshop (HOW) is programmed by a single-supporting company; featuring presentation on topics and technologies selected by the supporting company.  Located in rooms near the general and concurrent session rooms, HOW time slots follow "must see" IMAST educational sessions.

Advertising and Grant Opportunities

SRS is pleased to accept support in the form of grants to offset the costs of various IMAST educational components, networking opportunities and meeting services. Grant opportunities include, but are not limited to:

Delegate Bag Insert

A great way to promote Hands-On Workshops! Place a one-page,  8½" x 11" flyer inside the IMAST delegate bags. Production is the responsibility of the supporter and design must be pre-approved by SRS.

7,500 per insert (open to multiple supporters)

Materials must be received in the SRS office no later than May 26 or they will not be included in the delegate bag; sorry no exceptions.

Hotel Key Cards

Customized guest room keys at the Washington Marriott will bear the logo and tagline of a single supporter. Design must be preapproved by SRS. This opportunity will be open to one supporter.

$5,000 (open to one supporter per hotel)

Hotel Room Drop

Deliver your message directly to IMAST delegate guest rooms. Production of materials is the responsibility of the supporter, and materials must be received in the SRS office by May 26. SRS asks that all deliveries comply with AdvaMed and ACCME guidelines and all messages must be pre-approved by SRS. Open to multiple supporters.

Column Banner Advertising

Brand a column in the Cape Town International Convention Centre, located directly outside the IMAST meeting space; a great way to promote Hands-On Workshops and Exhibit Booths. The design must be pre-approved by SRS.

$5,000 (open to 5 supporters)
Artwork files must be sent to the SRS office by June 1, 2017.

IMAST Mobile App

The increasingly popular Mobile App is a great way to put your company in front of attendees as they refer to the App before and during the meeting. The App includes a full meeting program, and general information about the meeting and Cape Town, and is used as an audience response system during certain sessions. In 2016, there were 218 unique visitors to the App with a total of 9,300 page views. Banner ads on the App will rotate randomly, appearing on every page of the App.

Meeting Guide

Advertising space is available in the 24th IMAST Meeting Guide. The Meeting Guide is a supplement to the Final Program and is distributed to all IMAST delegates upon check-in. The Guide will contain information on the scientific program, exhibits, social activities and tours.

Preliminary Program Advertising

The 24th IMAST Preliminary Program will be mailed to more than 2,500 potential meeting delegates in Spring 2017. The Preliminary Program will contain an outline of the scientific and social programs, as well as registration and hotel information.

IMAST Newsletter

A series of five HTML email messages will be sent to IMAST delegates, SRS members and potential delegates, providing information on deadlines, highlighting invited speakers and preparing them for their arrival in Cape Town. Supporters will be acknowledged at the end of each message.

IMAST Pocket Guide

Place your company name and tagline or mission statement, if desired on the new Pocket Guide, a handy schedule including exhibit and Hands-On Workshop (HOW) information that will fit right into the delegate badge or pocket. The guide will be approximately 4” x 3” and will be distributed to all meeting delegates. This opportunity will be open to one supporter.

Two-Minute Point Presentation Kiosks

Multiple supporters will have the opportunity to support the Point Presentation kiosks. Point Presentations are displayed at IMAST on special computers located in a high-traffic area. Corporate Supporters will be acknowledged on each kiosk and in the program materials.

$7,500 (open to multiple supporters)

Charging Station

Provide delegates with a way to charge their electronics by supporting the charging station.  The station will be open to multiple supporters and will be placed in the main session room. Corporate supporters’ company name will be displayed on each station.

Printing Station *NEW*

Multiple supporters will have the opportunity to support the Printing Station. Surgeons will be able to print their certificate of attendance at this kiosk, located in a high-traffic area near registration. Names of corporate supporters will be displayed on the kiosk.

Ribbon Wall *NEW*

Multiple supporters will have the opportunity to support the Ribbon Wall, where delegates will pick up the ribbons that they will put on their name badges. Located in a high-traffic area near registration; names of corporate supporters will be displayed on the ribbon wall.

Directional Signage *NEW*

One supporter will have the opportunity support the directional signage throughout the IMAST venue. All directional signage will display the name and tagline of the corporate supporter.

Announcement Board

A central location for delegates to leave and retrieve messages and SRS staff to post pertinent meeting announcements; the announcement board will bear a single supporter’s name and tagline.

Breakfast in the Exhibit Area

Reach all 800+ delegates first thing every morning as they prepare for a day of education. Continental breakfast will be served Thursday and Friday mornings in the Exhibit Hall. As a supporter of one of the daily breakfasts, your company will be identified on signage as well as in the Final Program. If possible, catering stations may be strategically placed in proximity to the supporters’ booths.

 $5,000 per day (open to multiple supporters)

Beverage Breaks in the Exhibit Area

As a supporter of one of the breaks, your company will be allowed to include educational materials in the beverage break areas to draw attendees to your booth.

Welcome Reception

Delegates at IMAST may pick up their registration materials and gather in the Exhibit Hall on the evening of Wednesday, July 12, 2017 to reconnect with colleagues and enjoy food and beverages upon their arrival to Cape Town. Supporters’ booths will be highlighted during the reception and the companies will be acknowledged in the Final Program.

Course Reception

Multiple companies will have the opportunity to support the Course Reception. This event will be held on Friday evening, July 14. Your company will be acknowledged on signage throughout the meeting, on event tickets and in the programs. Also, five company personnel may attend the event free of charge.

Opening Session

The Opening General Session will start the IMAST program with the top-rated Whitecloud Award nominated papers. A single company is invited to exclusively support the Opening Session. As the sole supporter, your company name will be displayed on the screen prior to the start of the opening general session, and your company will be acknowledged in the Final Program.

$5,000 (open to one supporter)

Lunch with the Experts

Last year’s new concluding session featuring lunch and video based surgical techniques was a highlight of the meeting, bringing top surgeons in to discuss and demonstrate through videos how they manage new or difficult techniques. A single company is invited to exclusively support this session, with acknowledgement on the screen prior to the start of the session and in the Final Program.

$3,500 (open to one supporter)

Video Archive

Support the video archives which are posted to the SRS website for non-members and members to view 4-6 weeks after the meeting. All session rooms are recorded so delegates can go back and review any missed or concurrent sessions. Supporter will be acknowledged on the video archive website.

$25,000 (open to one supporter)

Wireless Internet

Help IMAST delegates stay in touch and informed by sponsoring the wireless Internet. Access to the Internet is available in all meeting areas for those delegates traveling with their smartphones, laptops and tablets. A single supporter may brand the wireless Internet access cards with their name and tagline (subject to SRS approval) and will also be acknowledged in the IMAST printed materials.

$20,000 (open to one supporter)

Educational Grant

By providing an educational grant in any amount, your company can help off-set IMAST expenses, and help keep meeting registration fees low.
This grant could include a donation to offset AV costs.
